Job Summary:

In this vital role, you will be responsible for the seamless planning and coordination of our label production schedule, ensuring efficient workflow and the timely delivery of high-quality labels to our clients. You will be a key point of contact, collaborating closely with our sales team and Customer Service Representatives (CSRs) to ensure project success from initiation to completion.

Job Responsibilities:

  • Receive and review all work orders for the department and work with sales, CSRs, and production to correct any issues.
  • Ensure all necessary job specifications, artwork, and materials are available and accurately documented prior to the start of production.
  • Track the progress of each job through all stages of production, from prepress to finishing and shipping, proactively identifying and addressing any potential roadblocks or delays.
  • Ensure scheduled jobs align with quality control standards and client specifications.
  • Assign jobs to digital presses and coordinate with operators, finishing teams, and shipping.
  • Job Coordination: Review job tickets and specifications to determine resources, materials, and time required.
  • Work with production managers and scheduling team to create and maintain efficient production schedules while striving to meet or exceed customer expectations.
  • Look for bottlenecks in the workflow and recommend process improvements.​
  • Maintain communication with prepress, print, bindery, and fulfillment teams to keep jobs on track.
  • Collaborate with customer service, sales, and account managers to provide accurate job status updates.
  • Monitor production progress and adjust schedules in real time when issues arise (machine breakdowns, material delays, urgent client requests).
  • Ensure proper sequencing of jobs to optimize press time and minimize changeovers or downtime.
  • Read and interpret all production schedules to provide accurate lead times for orders.
  • Serve as a central point of communication between the sales team and CSRs and the production floor, providing timely updates on job status and addressing inquiries effectively.
  • Monitor inventory levels of label stock, inks, and other essential consumables, communicating needs to the appropriate departments to prevent shortages and noting pertinent information in the schedule.
  • Proactively address and resolve scheduling conflicts or unexpected issues with flexibility and minimal disruption.
  • Collaborate with the production team to ensure adherence to the schedule and troubleshoot any technical challenges that may arise.

  • Exceptional organizational skills with a  strong attention to detail and accuracy.
  • Excellent  communication and interpersonal skills, with the ability to interact professionally and effectively.
  • Demonstrated ability to  problem-solve creatively and implement effective solutions in a fast-paced environment.
  • Strong time management and prioritization skills to  manage multiple projects and deadlines  simultaneously.
  • Ability to  work independently and collaboratively within a team.
  • Able to  manage stressful customer service and support requests, inquiries, while managing relationships with the sales team, providing customer product timelines. 
  • HS Diploma, or GED Required.​
  • Proven  experience in production scheduling, preferably within the commercial printing or label printing  industry.
  • Familiarity with the  various stages of the label printing process, including pre-press, printing (flexographic, digital, etc.), and finishing, desired .
  • Proficiency in using Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace (Gmail, Google Sheets, Google Docs) 
  • Experience with Enterprise Resource Planning (ERP) systems is a significant plus.
  • Familiarity with  digital print equipment (e.g., HP Indigo, Xerox, Canon, Konica Minolta).
  • Knowledge of MIS/ERP systems (e.g., PrintIQ, Avanti, EFI Pace) for job tracking and scheduling.
  • Ability to multitask in a  fast-paced, deadline-driven environment .
  • Effective communication to bridge between sales, production, and client services.
